“My former employer sent me a separation agreement. I have ten days.”
Move client intake forward without asking attorneys to chase the details.
Claire coordinates the operational work around a prospective or existing client: structured intake, conflict-check preparation, document collection, consultation scheduling, status communication and context-rich handoff to the firm.
The phone call is not the whole intake process.
Prospective clients call while stressed, omit facts, misstate deadlines and use everyday language instead of practice-area terminology. Intake staff then chase names, documents and availability while attorneys still need a defensible human decision.
“I need every party name before I can prepare the conflict check.”
“Do not promise we will take the case. Give me the facts and the documents.”
“I uploaded the signed document. Who owns the next step?”
From first contact to an attorney-ready intake package.
The workflow prepares the work and keeps the boundary clear: Claire can gather, organize, route and communicate; the firm decides conflicts, merit, advice and representation.
Capture contact preferences, matter language and whether the person is a prospective client, existing client, opposing party, vendor or other caller.
Ask the configured questions for names, organizations, jurisdiction, event dates, stated deadlines and the outcome the caller is seeking.
Normalize the captured party information for the firm’s process without declaring that a conflict does or does not exist.
Request permitted files or follow-up facts, preserve what is outstanding and avoid treating an incomplete file as complete.
Use configured practice-area, location, office-hour and urgency rules. A caller’s claimed deadline is context for review—not legal advice.
Hand the appropriate person the collected facts, documents, missing items, stated urgency and actions already attempted.
Offer a consultation or callback only when the firm’s rules and authorized calendar access permit it.
Tell the caller who owns the next step and the approved expectation. Do not imply an attorney-client relationship has formed.
Operational coordination across the client lifecycle.
New-client intake
Capture matter facts, parties, dates, documents and contact preferences before staff begins another round of phone tag.
Conflict-preparation
Prepare complete party inputs and route ambiguous identities to staff. Claire does not make the firm’s conflict decision.
Consultation scheduling
Apply availability and intake-status rules before offering a permitted slot or callback expectation.
Document follow-up
Track requested items, remind through approved channels and surface an incomplete file before review.
Client status requests
Identify the client and matter, retrieve only permitted context, answer approved routine questions and route substantive legal questions.
Billing and administrative routing
Collect the account context, classify the request and send it to the responsible team without treating it as legal work.
Decide where Claire coordinates and where the firm must step in.
The workflow should escalate uncertainty, sensitive judgment and policy exceptions instead of producing a confident legal conclusion.
People retain responsibility for
- Conflict analysis and waivers
- Legal advice and deadline interpretation
- Matter merit, strategy and representation decisions
- Privilege determinations and sensitive document handling
- Fees, engagement terms and relationship decisions
Connect the exact records and actions the workflow needs.
A legal workflow may need a practice-management system, conflict process, document store, calendar, email or billing context. Naming Clio, MyCase, PracticePanther or another system does not mean Claire has a native connector.
Validate before launch
- Map intake language and required fields.
- Define professional-responsibility and escalation boundaries.
- Confirm API access, scopes and permitted actions.
- Test duplicate parties, incomplete files and claimed deadlines.
- Verify the handoff, acknowledgement and caller-facing message.
- Launch with runtime and quality review.
What a serious firm should ask.
Is Claire giving legal advice?
No. Claire can coordinate configured administrative workflows. Legal advice, representation, conflicts, strategy and professional judgment remain with authorized people at the firm.
Can Claire replace our intake team?
The goal is not to erase the team. Claire can handle repetitive collection, routing and follow-up so staff can focus on judgment, relationships and exceptions.
Does Claire integrate with our practice-management system?
That must be validated for the exact system, edition, API access and workflow. A vendor name on this page is not a native-integration claim.
How do we avoid promising representation?
Use approved language, explicit workflow states and human review. The caller should receive a truthful next step without an automated acceptance or legal conclusion.
